Job Description:
Ability to work as a team player/communicator with all staff, support and clinical, to ensure the highest standards of service is provided to the clients/patients served.
Confidentiality and discretion a must.
Interfaces with clients/patients, family members, referents, staff, and others in a courteous and professional manner.
Being alert and responsive to daily situations.
Ability to determine highest priorities and the ability to regroup at a minutes notice.
Willingness to be flexible.
Oversees and assists other staff as needed in all areas including but not limited to:
- Registration of clients/patients in the Electronic Health Record System (EHR), obtaining and/or verifying all relevant demographic and insurance information to ensure the timely and accurate processing of claims.
- Ensuring clients/patients complete appropriate paperwork based upon appointment type and registration status.
- Ensuring agency forms are kept current.
- Monitoring the reception area.
- Courteously answering all incoming phone calls.
When appropriate, takes messages and delivers/communicates in a timely manner.
Triages calls to ensure timely and appropriate response.
Checks messages/emails/faxes consistently.
- Client/patient scheduling and follow up.
- Ensuring security and accuracy of medical records, payments and databases.
- Communicating in a timely and professional manner.
- Reviewing patient accounts and aging of accounts for outstanding balances.
Collecting co-payments, deductibles and outstanding patient balances.
Working closely with the agency billing company.
- Responding to requests for information from the agency billing office to ensure timely and accurate submission of claims.
- Responding to record subpoenas/ requests for information.
- Maintaining familiarity with various types of medical insurance to explain these plans as required and monitor reimbursement rates.
- Ensuring all staff credentialing are in place including attestation of providers as required by payer sources.
- Ability to stay connected to service standards and policy (i.
e.
telehealth) - Completing personnel records, payroll data, payroll reports, end of year personnel fiscal reports.
- Maintaining state / accreditation standards - Performing other duties as assigned.
Qualifications:
Minimum of High School Diploma or GED required.
Minimum of one year office experience preferred.
Experience in a customer service setting preferred.
Experience with Microsoft Office programs preferred.
Experience working with population Serve as a point of contact for clients, vendors, and other external parties Maintain confidentiality of sensitive information Requirements:
- Proven experience as an Office Manager or similar role - Excellent phone etiquette and communication skills, both written and verbal - Strong budgeting skills with the ability to manage expenses effectively - Demonstrated ability to lead and manage a team - Exceptional organizational skills with attention to detail - Proficient in using QuickBooks or similar accounting software - Knowledge of office management systems and procedures - Ability to prioritize tasks and meet deadlines in a fast-paced environment Note:
